Overview
Automatic Replies let you set it and forget it. Use them to manage listener expectations or add a monetization opportunity to your text line.
How to Create an Automatic Reply
Sign in to Text Groove.
In the Left Side Menu, click Automatic Replies, then select Manage.
Click the green + Add Automatic Reply button at the top of the page.
Fill in the setup fields:
Name – For internal use.
Description – Appears in your list of replies.
Message to Send – The text message you want automatically sent.
Frequency to Send Message – Choose how often the message should go out:
Options:Only Send Once – Sends just one time, no matter how many incoming texts are received. (Great for first-time texters.)
Every Message – Sends on every incoming message, within system limits.
Once Every Occurrence – Sends once per each time window you've scheduled.
Every X Hours – Sends once within the selected timeframe.
When you're ready, click the green Save Automatic Reply and Assign Now button.
How to Schedule an Automatic Reply
Once you’ve created your reply, schedule when it will run.
Go to Automatic Replies > Assignments from the Left Side Menu.
You’ll land on the Calendar View.
Click the day you want your reply to start and select Yes in the pop-up.
Fill out the assignment details:
Select Sender – Choose the station number.
Select Flow – Pick the reply you just created.
Start Date / Time – When the reply should begin.
End Date / Time – When the reply should stop.
Recurring? – Choose from:
Does not repeat
Daily
Weekly (choose a day)
Monthly
Annually
Weekdays (Mon–Fri)
Weekends (Sat–Sun)
? To set an auto reply that runs all day, every day:
Set it from midnight on the next day to midnight the day after that, then choose Daily in the "Recurring?" field.
Click the green Assign Automatic Reply to Sender button.
How to View and Edit Assignments
You can review or remove assignments on the Calendar View page. Just click an existing assignment, then choose Delete if needed.
Pro Tips
Here are two Automatic Replies we recommend setting up right away:
First-Time Texter Reply
Runs: All day, every day
Frequency: Only send once
Why: Sends a welcome message to new contacts and asks for their name, email, or other info. Great for getting consent to build their profile.
Unmanned Station Reply
Runs: During off-air hours
Why: Lets listeners know their message won’t be seen until someone is back in studio.
